Norwalk CT Records Retention

State Records Management

Norwalk Campus Faculty and Staff:

Please keep in mind that all of your documents from this academic year (and prior years) may not be discarded without first verifying the retention period and requesting permission to destroy documents. As you prepare your records for retention or destruction, please take the following steps:

  1. Use the General Records Retention Schedules for State Agencies created by the CT State Library Public Records Administration to identify what types of records should be retained or destroyed.  
  2. For records that DO NOT need to be retained, go ahead and dispose of them. If they contain sensitive information and you would like them to be shredded, please contact the Norwalk Campus Maintenance Department. (See step 5 below.)
  3. For records that DO have retention requirements, fill out a Records Disposition Authorization (Form RC-108), save it as a PDF, and email the file to Becky Brunson at rebecca.brunson@ctstate.edu. (Note: DO NOT submit the form by using the email link on the Form RC-108.) The RMLO must review and sign the disposal form and submit it to the CT State Library for approval. Becky is the Norwalk Campus Records Management Liaison Officer (RMLO); she is also available for questions throughout the records management process. 
  4. Pack your records for retention/destruction in bankers boxes. (See packing tips.) Contact the Norwalk Campus Maintenance Department to request empty boxes.
  5. Fill out a Maintenance Work Order to request pickup and storage of records that will be retained or destroyed AFTER all signatures have been obtained.

**If you are the custodian of files left behind by former Norwalk employees, or for those soon to separate, do not dump or recycle files without the director or chair of that area first verifying whether the documents need to be retained. 

Records Packing Tips

  • Remove all paper clips, rubber bands, binders, and folders (hanging and manila). Staples are okay.
  • It's okay to fill a box with different types of records as long as they have similar retention requirements.
  • Tightly pack a box from front to back. (If you don't have enough records to fill a box, please let the RMLO know.)
  • Standing a box up on its side may help packing go more smoothly.
  • Attach a copy of the Form RC-108 to the front of the box.

Becky is the Reference/Instruction Librarian and Norwalk Campus Records Management Liaison Officer (RMLO). She is also available to train individuals or departments about the record groups, inventories of documents, and relevant retention schedules.
