Schedule Meeting

Cisco Webex is a video conferencing software designed to facilitate live meetings in which presentations and collaboration can take place. Our staff has worked with this software for several semesters, and are familiar with the many tools it can provide for distance learning:

  • Live, real-time screen sharing: hosts can choose to share their screen with all attendees in order to present topics and documents such as PowerPoints, PDFs, quizzes and assignments, and even videos
  • Recording: users have the option to record their meetings for later viewing, in videos that are stored in a cloud unique to each user.
  • Attendance tracking: a list of participants can be seen during the meeting, and can be accessed afterwards for accurate attendance records.
  • Participant controls: a host has the ability to mute individual or all attendees if there is disruptive noise interfering with the lecture, and suspending or expelling a user from a meeting can also be done when necessary.

Frequently Asked Questions

Is there a way for me to take attendance so I don’t have to write everyone’s name down?
On the My WebEx page (https://ctedu.webex.com), you will see your name in the upper right corner of the page with a drop-down arrow next to it (above where it says Recent Personal Rooms). Hover your mouse over this arrow to bring up a menu. Click on My reports, then Usage Reports on the next page. From here, you can specify a date range. After clicking Show Report, a list of all the meetings that you hosted in this date range will appear. To view the list of attendees for a specific meeting, click on that meeting's name.
To save a copy of this list, click on the Export Report button located in the upper right corner of the screen. This will save the list to your computer as an Excel document.

How do I share my Power Point, blackboard, a video or another document?

In your meeting window, a row of icons will appear at the bottom of the screen. Click on the third option, shown here:
This will bring up a window which will allow you select which application to share. Please refer to our Using WebEx as an Instructor document for more details.

How do I record my class/lecture and where does it go after I stop recording?

To record your meeting, click on the recording icon shown here:
After recording, your video will be stored on your computer. Please refer to our Using WebEx as an Instructor (Recording and Sharing a WebEx Meeting section) for a comprehensive walkthrough.

Does my meeting information ever change? (meeting number, url, etc)

The meeting number for your personal room, used when you start a meeting ad-hoc, is unique to your account and does not change. However, when scheduling a meeting (i.e. in Webex Events), you will be given a one-time use code for that meeting alone.
